1. About these terms

These Terms & Conditions ("Terms") form the legal agreement between you and Portlio ("we", "us", "our") for your use of the Portlio platform and associated services (the "Service").

By creating an account or using the Service, you agree to these Terms. If you do not agree, you must not use the Service. These Terms are governed by the laws of England and Wales.

We may update these Terms from time to time. We will give you reasonable notice of material changes. Continued use of the Service after changes take effect constitutes your acceptance.

2. The service

Portlio is a property portfolio management platform designed for independent residential landlords in the United Kingdom. The Service includes:

  • Document storage and expiry tracking for property certificates and compliance documents
  • A messaging system between landlords and tenants
  • A secure tenant portal for accessing tenancy-related documents
  • Portfolio financial tracking, including income, expenses, and mortgage data
  • UK landlord compliance updates and alerts

The Service is currently in private beta. Features and availability may change without notice during this period.

3. Eligibility and accounts

To use Portlio as a landlord, you must be at least 18 years old and a residential landlord based in the United Kingdom. By registering, you confirm this is the case.

You are responsible for keeping your login credentials secure and for all activity that occurs under your account. You must notify us immediately of any unauthorised access at [YOUR CONTACT EMAIL].

Tenant accounts are created by invitation from a landlord. Tenants must be at least 18 years old.

You may not create multiple accounts or transfer your account to another person without our consent.

4. Acceptable use

You agree to use the Service only for its intended purpose — the lawful self-management of residential rental properties. You must not:

  • Use the Service for any unlawful purpose or in breach of any applicable UK law or regulation
  • Upload content that is false, misleading, defamatory, or in breach of any third party's rights
  • Attempt to gain unauthorised access to any part of the platform or another user's account
  • Use automated tools to scrape, extract, or collect data from the platform
  • Interfere with or disrupt the platform's infrastructure
  • Use the Service to harass, threaten, or harm tenants or any other party

5. Your content

You retain ownership of all data, documents, and content you upload to Portlio ("Your Content"). By uploading content, you grant us a limited licence to store, process, and display it solely for the purpose of providing the Service to you.

You are solely responsible for ensuring Your Content is accurate, lawful, and does not infringe any third-party rights. We do not review or verify the content you upload.

6. Subscriptions and payment

Portlio is currently in private beta and is provided free of charge to invited users. Paid subscription tiers will be introduced in the future. We will give you clear advance notice of any pricing changes, and you will have the opportunity to cancel before any charges apply.

When billing is introduced, subscription fees will be charged in advance on a monthly or annual basis. All prices are stated in GBP and are inclusive of VAT where applicable.

7. Intellectual property

All intellectual property rights in the Portlio platform, including its design, software, branding, and content created by us, belong to us or our licensors. Nothing in these Terms grants you any rights in the platform beyond what is necessary to use the Service.

The Portlio name, logo, and associated marks are our trade marks. You may not use them without our prior written consent.

8. Disclaimer and limitation of liability

The Service is provided "as is" and "as available". We make no warranties — express or implied — about the accuracy, reliability, or fitness for a particular purpose of the Service or any information provided through it.

Portlio does not provide legal, tax, or financial advice. Any information about UK landlord regulations, compliance requirements, or financial calculations is provided for general informational purposes only. You should seek independent professional advice for your specific circumstances.

To the maximum extent permitted by law, our total liability to you for any claim arising out of or relating to the Service shall not exceed the greater of (a) the total fees you have paid to us in the 12 months preceding the claim, or (b) £100.

We are not liable for any indirect, incidental, consequential, or special losses, including loss of profit, loss of data, or business interruption, even if we have been advised of the possibility of such losses.

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

9. Data and privacy

Our Privacy Policy explains how we handle personal data. Our Data Processing Agreement sets out the terms on which we process tenant data on your behalf.

10. Termination

You may close your account at any time by contacting us. We will delete your data in accordance with our Privacy Policy.

We may suspend or terminate your access to the Service immediately if you breach these Terms, if required by law, or if we reasonably believe your use poses a risk to the platform or other users. We will give you advance notice where it is reasonable to do so.

11. Governing law and disputes

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
