Acceptable Use Policy

1. Purpose
This Acceptable Use Policy ("AUP") sets out the rules for using the Portlio platform. It applies to all users — landlords and tenants alike. By using the Service, you agree to comply with this AUP. It forms part of our Terms & Conditions.
2. Permitted use
Portlio is designed for the lawful self-management of residential rental properties in the UK. Permitted uses include:
- Uploading and managing property compliance documents (gas safety certificates, EPCs, licences, etc.)
- Communicating with tenants regarding their tenancy
- Sharing tenancy-related documents with tenants through the tenant portal
- Recording and tracking property income, expenses, and mortgage information
- Monitoring UK landlord law updates relevant to your properties
3. Prohibited use
You must not use the Portlio platform to:
Illegal activity
- Engage in any activity that violates UK law, including the Landlord and Tenant Act, the Housing Act, or anti-discrimination legislation
- Upload, store, or distribute content that is illegal, including content that infringes copyright or contains illegal material
- Facilitate money laundering, tax evasion, or other financial crimes
Harmful conduct towards tenants
- Harass, intimidate, threaten, or discriminate against tenants on the basis of any protected characteristic (race, sex, disability, religion, sexual orientation, age, etc.)
- Use the messaging system to send abusive, threatening, or inappropriate communications
- Engage in any conduct that could constitute illegal eviction or harassment under the Protection from Eviction Act 1977
- Upload false or misleading information about tenants
Platform misuse
- Attempt to gain unauthorised access to another user's account or data
- Use automated scripts, bots, or scrapers to access or extract data from the platform
- Introduce malware, viruses, or other malicious code
- Attempt to reverse engineer, decompile, or copy any part of the platform
- Create multiple accounts to circumvent restrictions or access controls
- Resell, sublicense, or provide access to the platform to third parties without our consent
Misleading or harmful content
- Upload documents that are forged, falsified, or misrepresent compliance status (e.g. fake gas safety certificates)
- Use the platform in a way that could damage the reputation of Portlio or other users
4. Tenant portal — specific rules
The tenant portal is provided so tenants can access documents and communicate with their landlord. Tenants using the portal agree that they will:
- Only access their own tenancy information
- Communicate respectfully with their landlord through the platform
- Not share their login credentials with any other person
- Not attempt to access any other tenant's data or any landlord's account
5. Reporting and enforcement
If you become aware of a breach of this AUP — whether by another landlord or a tenant — please report it to us at [YOUR CONTACT EMAIL].
We may investigate any suspected breach. If we determine that this AUP has been violated, we may, at our discretion:
- Issue a warning
- Suspend or permanently terminate the relevant account
- Remove content that violates this policy
- Report the activity to relevant authorities
We are not obligated to monitor all content or communications on the platform, but we reserve the right to do so.
6. Changes to this policy
We may update this AUP from time to time. We will notify you of material changes via email or a notice on the platform. Continued use of the Service constitutes acceptance of the updated policy.
